Property Management & Accounting integration
AppFolio COI compliance integration
Turn AppFolio's vendor compliance dates into verified ones. Pikorua Security reads vendors, properties and unpaid bills from AppFolio Property Manager, checks each certificate and its endorsements against the property's requirements, and writes liability, workers' compensation and auto insurance expirations back, with payment holds on vendors that fail.

What Pikorua Security reads from and writes to AppFolio.
| Field | Direction | What happens |
|---|---|---|
| Vendors | AppFolio to Pikorua Security | Vendor name, type, contact and the properties served, matched to Pikorua Security vendors. |
| Properties and owners | AppFolio to Pikorua Security | Property and owner records, so each owner entity can be checked as an additional insured. |
| Unpaid bills | AppFolio to Pikorua Security | Read before each payment run to show the dollars a deficiency is holding. |
| Liability insurance expiration | Pikorua Security to AppFolio | Verified date from the policy, written to the vendor's compliance record on Max. |
| Workers' compensation expiration | Pikorua Security to AppFolio | Verified date, with the waiver of subrogation checked wherever your management agreement requires it. |
| Auto insurance expiration | Pikorua Security to AppFolio | For vendors who drive onto your properties: plumbers, HVAC technicians, snow removal crews. |
| Payment hold | Pikorua Security to AppFolio | On Max, the vendor's hold on payments is turned on for failing vendors and off on renewal. On Plus, Pikorua Security sends AP a hold list instead. |
Trigger events
When the certificate changes, AppFolio changes with it.
- Hold
Liability insurance expires
Then: The expiration is written to the vendor's compliance record and, on Max, payments to the vendor are held until the renewal is verified.
- Hold
Owner entity not named as additional insured
Then: Vendor flagged with the missing entity, for example "Maple Court Owner LLC", and the broker receives a request naming the exact entity.
- Warn
Coverage expiring in 30 days
Then: Dates refreshed. AppFolio's own expiration notice and Pikorua Security's broker request go out together.
- Hold
New vendor added in AppFolio
Then: Pikorua Security sends the vendor a compliance request based on the requirement template for the properties it serves.
- Release
Renewal verified
Then: New dates written and the hold lifted; the vendor is payable in the next payment run.
Setup
Live in 45 minutes.
5 steps, done by your AppFolio administrator and a Pikorua Security Admin together. Nothing to install on your servers.
- 1
Create a Developer Admin user
An AppFolio administrator creates a Developer Admin user and shares the Developer ID, Client ID and Client Secret through Pikorua Security's encrypted credentials form.
- 2
Pick the write level
On Max, choose whether Pikorua Security may update compliance expirations and payment holds. On Plus the connector runs read-only.
- 3
Match vendors
Pikorua Security pulls vendors with their compliance dates and matches them to certificates on file. Mismatched legal names go to a review queue.
- 4
Assign property requirements
Map properties or owner portfolios to requirement templates, including which owner entities must be additional insureds.
- 5
Turn on rules
Choose which failures hold payments and which only notify, then review the preview of vendors that would be held today.
AppFolio tracks the dates. Pikorua Security checks what is behind them.
AppFolio Property Manager lets vendors upload compliance documents through the Vendor Portal under categories such as liability insurance, workers' compensation, auto insurance, state license, contract and EPA certification, and it notifies you and the vendor when a document has expired or is about to. That covers dates. It does not cover whether the certificate names the right owner entity, whether the additional insured endorsement is attached, or whether the limits meet your management agreement.
Pikorua Security reads the certificate and the endorsement pages, checks them against the requirement for that property and its owner, and writes the verified dates back to AppFolio, so the expiration notices AppFolio already sends are based on verified coverage.
Plus or Max: what changes
AppFolio offers API access on its Plus plan (read only) and its Max plan (read and write). On Max, the connector writes compliance dates and turns payment holds on and off. On Plus, it reads vendors, properties and unpaid bills, and Pikorua Security sends your AP team a hold list before each payment run. Customers on Core use Pikorua Security without the connector and export vendor status as CSV.
Either way, access is enabled by your own administrator through a Developer Admin user. Pikorua Security needs nothing from AppFolio beyond what your plan already includes.
