Property Management & Accounting integration

Entrata COI compliance integration

Hold Entrata invoices from vendors whose insurance fails, and release them when the renewal is verified. Pikorua Security reads vendors and invoices through Entrata's web services, verifies each vendor's certificate and endorsements against the property's requirements, and sets invoice hold status so non-compliant vendors are not paid through Bill Pay.

Trigger events

When the certificate changes, Entrata changes with it.

Each trigger is a rule you can switch on, off or to notify-only per project, property or vendor tier.
How payment and access gates work
  1. Hold

    Vendor's coverage expires

Then: Open invoices for the vendor are placed on hold with the reason, and new invoices are held as they arrive.

  2. Hold

Property entity missing as additional insured

Then: Only invoices for that property are held; the vendor stays payable elsewhere.

  3. Warn

    Coverage expiring in 30 days

Then: Broker chased at day 30. No hold.

  4. Release

    Renewal verified

Then: Holds cleared, and invoices return to your approval workflow and Bill Pay.

Procure to Pay with a compliance gate

Entrata, based in Lehi, Utah, runs property management, accounting and Procure to Pay for multifamily operators, with Invoice Processing, Bill Pay by virtual card, ACH or check, and VendorAccess, the vendor portal that supplies vendor banking details to Bill Pay. Pikorua Security adds endorsement-level insurance verification and puts the result on the invoice itself.

Entrata's invoice web services can change an invoice's hold status, which is exactly the control a compliance hold needs. Pikorua Security uses it narrowly: it sets and clears holds for compliance reasons and never edits amounts, GL coding or approvals.

Property-level precision

An operator's portfolio often mixes owners with different insurance standards. Pikorua Security holds invoices only for the properties where a vendor fails, so one owner's stricter umbrella requirement does not stop payments at every other community the vendor serves.

Property managers see a short reason on each held invoice and can open the full deficiency list, with the broker's last response, from the link in the note.

FAQ

Entrata connector questions.

Pikorua Security is compliance software. It verifies certificates and endorsements against your contract requirements; it does not sell insurance or give legal advice.

Does this replace VendorAccess?
No. VendorAccess remains how vendors manage their Entrata profile and banking for Bill Pay. Pikorua Security handles insurance verification and holds.
Can Pikorua Security approve invoices?
No. It only sets and clears hold status for compliance. Approvals follow your Entrata workflow.
How quickly do holds appear?
Within minutes of a verdict. While a vendor is on hold, Pikorua Security rechecks its open invoices every hour so new ones are caught.
